APPLICATIONS FOR THE ACADEMIC YEAR 2024/25

Applications for the 2024/25 academic year are divided by thirds:

For mobility starting in from October 2024 to January 2025, the deadline for applications is 15 August 2024.
For mobility starting in from February to May 2025, the deadline for applications is 15 November 2024.
For mobility starting in from June to September 2025, the deadline for applications is 15 April 2025.

The applications are submitted through admission proceedings AT INSTITUTES.

Erasmus+ programme offers two types of placements:

  1. Practical placements
  2. Graduate traineeships

Erasmus Mundus Programme students receiving a scholarship are not eligible to receive an additional Erasmus+ scholarship to avoid double funding. 

ERASMUS+ placements

Practical and graduate placements (traineeships) provide students with another opportunity to travel abroad within Erasmus+ programmes. 

Placements can be performed in the member as well as non-member EU countries as follows: Austria, Belgium, Bulgaria, Croatia, Cyprus, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Iceland, Italy, Latvia, Lithuania, Liechtenstein, Luxembourg, Malta, Malta, the Netherlands, North Macedonia, Norway, Poland, Portugal, Romania, Serbia, Slovakia, Slovenia, Spain, Sweden, Turkey and the United Kingdom.

All Bachelor’s, Master’s and PhD students (including part-time students and those of non-EU countries) can participate in the programme. 

Practical and graduate placements may last from 2 up to 12 months. The minimum number of worked out hours must be 20 hours per week.

Short-stay mobilities for PhD. students may last from 5 to 30 days

The maximum length of Erasmus+ programmes is 12 months per study cycle.
It is not possible to go on an internship as part of writing your thesis! It cannot be written in the description of the contents of the internship within the Learning Agreement! The internships cannot take place in an institution falling under the European Union.

PLANNING YOUR MOBILITY

Below you will find information useful for planning your placement.

  • WHERE TO GO? (BILATERAL AGREEMENTS)

    The applicants can use the list under Bilateral agreements or secure a practical placement in an organization of their own (at public or private organizations, research institutions or foundations, school facilities, education centres, non-profit organizations, associations, NGOs). The condition is that the traineeship corresponds to the student's specialization. 

    Furthermore, admissions are regularly announced by Czech centres abroad 

    Other possibilities of interships are published at the European Commission's website. However, placements are not allowed to be performed in the EU institutions and organizations administering the EU programmes.

    In sufficient time prior to submitting an application, the applicants must assure a Letter of Acceptance.

  • TRAVELLING COSTS (GREEN ERASMUS+)

    ACADEMIC YEAR 2025/2026:

    As of the academic year 2025/2026, a travel grant is newly introduced; therefore it is crucial that your means of travel in WebApps are indicated correctly!

    "Distance" is defined as the direct distance between the main headquarters of the sending and receiving institutions.

    Proof of travel costs:

    Acceptable means of transport to/from the host foreign institution are: train, bus, bicycle or car sharing.

    Both journeys - i.e. the first mobility journey and the last journey back to the Czech Republic - must be made by one of the above mentioned means and participants must keep evidence of such journeys (tickets) to be submitted to the European Office (EO) at the Rector's Office of the Charles University for checking upon return.

    In the case of the 'car-sharing' option, it must be a shared journey. In this sense, carpooling does not include the case where someone drives you to the mobility location and returns without you (family, friends). You must provide an original affidavit with the signatures of all the persons (address + date of birth) who shared the transport and proof that the journey actually took place (petrol receipt, toll receipts, etc. for both journeys). In the case of travel by bicycle, the original affidavit of the journey made is required.

    The allowance cannot be processed during and after the return from mobility.

    After returning from mobility, send copies of tickets and other documents to erasmus.outgoing@ruk.cuni.cz.
     

    In case of non-compliance, the allowance will be refunded.

    *Please note: Confirmation of Erasmus period cannot be provided, e.g. for the period 1.3.2024 - 30.3.2024, together with a return ticket dated 24.3.2024 showing that the physical mobility ended earlier.

    ACADEMIC YEAR 2024/2025:

    Please note: The Green Erasmus scholarship for long-term mobility of 2-12 months is no longer valid for the academic year 2024/2025.

  • TRAVELLING TO THE UNITED KINGDOM OF GREAT BRITAIN AND NORTHERN IRELAND

    By April 2025, all visitors who do not need a visa, except British and Irish citizens, will need an Electronic Travel Authorisation (ETA) – a digital permission to travel to the UK.

    ETA is extending in two phases:

    • Eligible non-Europeans can apply in advance from 27 November 2024 and will need an ETA to travel to the UK from 8 January 2025.
    • Eligible Europeans can apply from 5 March 2025 and will need an ETA to travel to the UK from 2 April 2025.

    An ETA costs £10 and permits multiple journeys to the UK of up to six months at a time over two years or until the holder’s passport expires – whichever is sooner.

MOBILITY PROCESS

Below you can find all the important information about the mobility process.
Students are obliged to familiarise themselves with the terms and conditions of the Erasmus+ programme and to comply with them.
We strongly recommend that you arrange everything in advance. The Erasmus+ Agreement must be signed before the start of the mobility!

  • BEFORE DEPARTURE

    Outgoing students in the winter semester must assure the check on the study results for the next academic year (go to SIS - summary of exam results - validations - I apply to the study department to carry out the final check for advancement to the next stage of study - submit request).

    If you proceed to a higher study cycle, please also assure a premature enrolment at your Student Services Office. 

    It is necessary to open your EUR account with a bank branch in the Czech Republic.

    Students need to have an active student status throughout the whole practical placement.

    You must submit the required documents, then you will be asked to sign the financial agreement personally at the rectorate of Charles University. Should you be already on your placement abroad you can give Power of Attorney (to conclude the Financial Agreement) to sign the agreement for you.

    The Erasmus Agreement CANNOT be signed retrospectively, i.e. after returning from mobility. In this case the student will not receive the scholarship. The contract must be signed before departure or at the beginning of the mobility if the student has not completed all the necessary signatures on the documents (typically related to LA).

    You´ll receive your scholarship by 30 days at the latest.

  • DURING STAY

    Extension of mobility

    If you plan to extend your stay, you need to send a new acceptance letter with the dates of your extended practical placement at outgoing@fsv.cuni.cz. You must apply for the extension at least one month before the end of the original placement and the entire administrative process, including signing the addendum to the Erasmus+ agreement, must be completed BEFORE the end of the original placement. After the end of the original mobility, the stay cannot be further extended. The mobility cannot be extended twice. Extensions are not eligible.

  • AFTER YOUR RETURN

    After you return, it is necessary to fill in your final evaluation report and submit the following documents to the International Office of the Faculty of Social Sciences (IO FSV) and to the European Office of the Rectorate of Charles University (EO RUC), deadline for submitting these document: within 30 days of the date it was issued by the receiving institution.:  

    Confirmation of Erasmus+ Period - the original document to EO RUC, a copy to IO FSV

    Traineeship Certificate - copies to EO RUC and IO FSV

    Students must also complete the final report at Charles abroad.

    Documents can also be sent by the coordinator of the foreign university directly to outgoing@fsv.cuni.cz and petra.smidova@ruk.cuni.cz

    The recognitions of Erasmus+ results fall under the responsibility of the Student Services Office and your academic tutor.

2. Erasmus+ graduate traineeships

In cooperation with the Educa consortium, Charles University offers internships for its future graduates.

Applications together with a curriculum vitae, cover letter and study results must be submitted before the date of your state final examinations and get approved by your academic tutor or the director of the institute.

Approval of the graduate traineeship

Joint and double degree students are required to provide confirmation from their universities of the exact time of the Erasmus+ stays abroad already taken.
